PRIVACY POLICY AND DISCLAIMER

  1. Scope. This Privacy Policy describes how Kareforce, LLC (“Kareforce,” “we,” “us,” or “our”) processes personal information through its website and software platform, which enables participating agencies to facilitate matches between caregivers and families (together, the “Services”). Depending on how the Services are used, agencies, caregivers, and families may each submit information directly. The information visible to each participant depends on platform permissions and the applicable agency relationship.
  2. Information We Collect. Depending on the Services used and the information voluntarily submitted by agencies, caregivers, families, or authorized representatives, we may collect or process: account and contact details; caregiver qualifications, employment history, professional licenses, certifications, training records, availability, preferences, identification documents, references, work eligibility information, background screening status or results, and other information necessary to facilitate caregiver matching and agency onboarding; agency business and account information; and family contact details, location, scheduling needs, care preferences, and other information supplied to facilitate matching. Users may also provide care-related or health information when describing care needs. We may collect basic device, login, and technical information needed to operate and secure the Services.
  3. How We Use Information. We use personal information to create and administer accounts; allow agencies, caregivers, and families to submit profiles or requests; facilitate appropriate caregiver and family matches and related communications; support participating agencies; operate, secure, troubleshoot, and improve the Services; respond to inquiries; and comply with applicable legal obligations. We will not use sensitive care or health information for unrelated advertising.
  4. Disclosure of Information. Information submitted through the Services may be shared with participating agencies and, as permitted by platform settings and the matching workflow, with caregivers, families, or their authorized representatives. We may provide information to third-party vendors performing services on our behalf, including hosting, communications, security, payments, background screening, and compliance verification, to the extent such services are utilized. Participating agencies may independently collect, evaluate, and maintain caregiver screening and employment information in accordance with their own legal obligations and privacy practices. We may also disclose information when legally required, to protect rights and safety, or in connection with a corporate transaction, subject to applicable law.
  5. Health and Other Sensitive Information. Care needs and health-related information, if submitted by families, caregivers, agencies, or authorized representatives, may be sensitive. Access and disclosure should be limited to what is necessary for the relevant matching and agency workflow and consistent with applicable law. HIPAA applicability depends on Kareforce’s actual role and arrangements with participating agencies; this Policy is not a representation that Kareforce is a HIPAA-covered entity or business associate.
  6. Cookies and Website Technologies. The website and platform may use cookies or similar technologies necessary for account login, security, and core operation, if enabled. Kareforce does not currently use Google Analytics or advertising pixels. If optional analytics or advertising technologies are introduced, this Policy and any required notice or consent mechanisms will be updated before deployment.
  7. Security and Retention. We use reasonable administrative, technical, and organizational safeguards appropriate to the information we maintain. No internet transmission or storage system is completely secure, and we cannot guarantee absolute security. We retain information for as long as reasonably necessary to provide the Services, administer our business, satisfy legal or contractual requirements, resolve disputes, and protect our legitimate interests, then delete or deidentify it where appropriate. Actual retention periods depend on the category of information and applicable obligations. In the event of a data breach or security incident affecting personal information, Kareforce will provide notice to affected individuals, participating agencies, and governmental authorities to the extent required by applicable law. Kareforce may also provide additional notifications when reasonably necessary to protect affected individuals or the security of its Services.
  8. Your Choices and Privacy Rights. Depending on your location and applicable law, you may have the right to access, correct, delete, or obtain a copy of your personal information; object to or limit certain processing; withdraw consent where processing is based on consent; and opt out of certain uses of personal information, including targeted advertising, where applicable. You may also have the right to appeal a decision concerning a privacy request and designate an authorized agent to act on your behalf, where permitted by law. To exercise your rights, contact us using the information provided below. We may take reasonable steps to verify your identity before processing your request. Where information is controlled by a participating agency, we may refer your request to that agency or coordinate a response. Kareforce will respond to applicable privacy requests within the time required by law and will not unlawfully discriminate against individuals for exercising their privacy rights.
  9. Third-Party Websites and Services. Our Services may link to websites, payment providers, background-check providers, agency systems, and other services operated by third parties. Their independent privacy practices are governed by their own policies. We do not control or endorse all content or privacy practices of those third parties.
  10. Children. Our Services are not intended for children to create accounts or independently submit personal information. If we learn that we collected information directly from a child contrary to applicable law, we will take appropriate steps. Information about a minor’s care needs, if the Services permit its submission by an authorized adult, may be subject to additional safeguards.
  11. Changes and Contact. We may update this Policy as the Services, technology, or locations served change. We will post the current version with its effective date and provide additional notice where required by applicable law.
